Hampton Travel Ltd ("we", "us", "the Company") is committed to protecting your privacy. This policy explains what personal data we collect, how we use it, the lawful basis for processing, how long we keep it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This policy applies to https://hamptontravel.co.uk and to any booking, quote, corporate account, or communication with Hampton Travel Ltd by any channel.

Data controller

Hampton Travel Ltd is the data controller for personal data collected through this website and through our booking channels. Contact: info@hamptontravel.co.uk or 0800 061 4661.

What we collect

Depending on how you interact with us, we may collect:

  • Name and contact details (email, phone, postcode)
  • Pickup and drop-off addresses, dates, times, flight numbers
  • Company name, billing contact, and User list (corporate accounts only)
  • Payment reference data (we do not store card numbers; card processing is handled by our regulated payment providers)
  • Website usage data (IP address, browser type, pages visited) via cookies
  • Records of enquiries, complaints, and correspondence

Why we process your data (lawful basis)

  • Contract: to accept and deliver your booking, process payment, and provide statements and receipts.
  • Legal obligation: to meet Coventry private hire licensing requirements, tax and accounting duties, and any lawful request from a licensing authority or law enforcement.
  • Legitimate interest: to prevent fraud, secure our systems, improve our service, and respond to complaints.
  • Consent: for optional marketing emails and non-essential cookies. You may withdraw consent at any time.

How long we keep it

  • Booking, journey, payment, and statement records: 6 years from the date of the transaction (HMRC requirement).
  • Corporate account records: 6 years after account closure.
  • Complaints correspondence: 3 years after resolution.
  • Marketing preferences: until you unsubscribe.
  • Website analytics (aggregated): 26 months.

Who we share it with

  • Our licensed drivers, only as necessary to complete your Journey (name, contact number, pickup/drop-off, flight number where relevant).
  • Our regulated payment providers (Monzo, GoCardless) for the sole purpose of processing your payment.
  • Our dispatch platform partner (iCabbi) for allocation and status tracking of your Journey.
  • Cloud hosting and email delivery providers, under written data-processing agreements.
  • HMRC, licensing authorities, or law enforcement where legally required.

We do not sell your personal data. We do not share your data with third parties for their own marketing.

International transfers

Where a supplier processes data outside the UK or EEA, we rely on the UK GDPR's approved transfer mechanisms (adequacy decisions or standard contractual clauses). Our booking, statement, and account data is stored on UK-based hosting.

Your rights

Under the UK GDPR you have the right to:

  • Access the personal data we hold about you (Subject Access Request — free of charge, response within 30 days).
  • Ask us to correct inaccurate or incomplete data.
  • Ask us to erase your data (subject to our legal obligation to retain booking records for HMRC).
  • Restrict or object to processing where the lawful basis is legitimate interest.
  • Data portability — receive your data in a machine-readable format.
  • Withdraw consent to marketing at any time.
  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113.
